Cancellation & Refund Policy

At HolidayAlong Hotels And Travel Services Private Limited, we are committed to delivering exceptional travel experiences with transparency and fairness. We understand that plans may change, and this policy outlines how cancellations, refunds, and rescheduling requests are handled for all Group Tours, Fixed Departures, and Customized Trips.

Please read this policy carefully before making your booking, as it forms a part of your service contract with HolidayAlong.

  1. Cancellation by the Traveller

We begin operational arrangements immediately upon confirmation of your booking. Therefore, the following cancellation charges shall apply:

1.1 Booking Amount

  • The initial booking amount is strictly non-refundable under all circumstances.
  • This includes registration fees, advance payment, or any partial deposits.

1.2 Trip Cancellation Charges

For Group Tours and Customized Trips:

  • 30 days or more before the trip start date:
    50% of the total package cost will be charged as cancellation fees.
  • 15 to 30 days before the trip start date:
    75% of the total package cost will be charged as cancellation fees.
  • 0 to 15 days before the trip start date:
    100% of the total package cost will be charged as cancellation fees.

Note:

  • No partial refunds will be provided for any unused portion of the trip after commencement.
  • Flight/Train/Bus tickets are non-refundable as per carrier rules.
  • Visa, permits, insurance, and any additional services are strictly non-refundable.
  1. Cancellation by HolidayAlong

HolidayAlong reserves the right to cancel, postpone, or reschedule a tour due to:

  • Operational issues
  • Weather conditions
  • Insufficient bookings
  • Safety concerns
  • Supplier failure
  • Logistical challenges

In such cases:

2.1 Rescheduling or Alternative Tour

Travellers will be offered:

  • An alternative date, or
  • An alternative tour, at no additional cost.

2.2 Credit Note

If alternatives are not feasible, HolidayAlong may issue a credit note valid for a defined future period.

2.3 Refund Clause

Cash refund may be considered only in exceptional situations and is subject to management approval.

2.4 HolidayAlong Liability

HolidayAlong is not liable for any additional costs incurred by the traveller, including but not limited to:

  • Flight/train/bus tickets booked externally
  • Hotel stays booked separately
  • Equipment or gear purchases
  • Losses arising from rescheduling or trip cancellation
  1. Force Majeure Conditions

HolidayAlong shall not be held responsible for cancellations, modifications, or interruptions due to events beyond our control, including but not limited to:

  • Natural disasters (earthquakes, floods, landslides, storms, etc.)
  • Government-imposed restrictions
  • Travel bans or border closures
  • Pandemics/epidemics
  • Strikes, protests, or civil unrest
  • War, terrorism, or political instability
  • Extreme weather conditions

3.1 Consequences

In such events:

  • No cash refund will be provided.
  • Credit notes, date changes, or alternative tours may be offered whenever feasible.
  1. Important Notes for All Travellers

4.1 How to Request a Cancellation

  • All cancellation requests must be made in writing via email to HolidayAlong’s official customer support info@holidayalong.com
  • Verbal cancellations via phone, WhatsApp, or messages will not be considered.

4.2 Refund Processing Time

Where applicable, refunds will be processed within:

25–30 working days
after confirmation of cancellation.

4.3 Mode of Refund

Refunds will be issued:

  • To the original payment method, OR
  • Via a credit note, at HolidayAlong’s discretion.

4.4 Non-Refundable Components

The following are always non-refundable:

  • Government taxes
  • Airline charges
  • Visa & permit fees
  • Travel insurance
  • Service fees
  • Booking amount
  • Customized add-ons
  • Peak season surcharges

4.5 No Refund Situations

Refunds will NOT be applicable if:

  • Traveller misses flights/trains/buses
  • Traveller joins late or leaves early
  • Services are unused due to personal reasons
  • Traveller is removed due to misconduct or safety non-compliance
  1. Special Conditions for Customized Trips

Since customized trips involve tailor-made arrangements:

  • Any cancellation after hotel/flight confirmations may result in 100% cancellation charges depending on the supplier’s policy.
  • HolidayAlong is not responsible for differences between quoted and final prices due to last-minute changes initiated by the traveller.
  1. Modification Requests

Date, hotel, or itinerary changes are subject to:

  • Availability
  • Supplier approval
  • Additional charges (if applicable)

HolidayAlong is not bound to accept modification requests once bookings are confirmed.

  1. HolidayAlong Rights

HolidayAlong reserves the right to:

  • Modify itinerary due to unforeseen conditions
  • Change hotels of equivalent or higher category
  • Replace vehicles due to mechanical issues
  • Adjust schedules in high-traffic or emergency scenarios

Without any obligation to provide a refund.

  1. Jurisdiction

All disputes arising under this Cancellation & Refund Policy shall be governed by the laws of India.
The courts of New Delhi shall have exclusive jurisdiction.
